Privacy Policy

Who we are

This website, hces.us, is run by Hill City Estate Services, LLC, a property care company based in Lynchburg, Virginia. We also operate under the name Hill City Pressure Washing. In this policy, "we," "us" and "our" mean Hill City Estate Services, LLC.

This policy covers information collected through hces.us. If you hire us, the details of that job (where it is, what we did, what you paid) are handled as part of our ordinary business records.

Information you give us

Quote request forms

When you send a quote request through this site, we receive:

• your first and last name
• your email address
• your phone number, if you choose to give it
• the service you are interested in, and on some pages a detail such as property type or how you would like leaves handled
• anything you write in the message box

The message box is free text, so please do not include anything sensitive, such as financial account numbers or medical information. We do not need it to quote a job.

Instant lawn quote

The instant quote on our lawn aeration page asks for the address of the property you want quoted. To estimate your lawn size, the page sends that address, and later the map coordinates of your property, to public mapping services (listed below). If you then ask us to lock in the estimate, the page also asks for:

• your name, phone number and email address
• the address, the lawn you marked on the map (its size and a picture of it on the aerial map), and the services you picked
• a photo of your lawn, if you choose to add one. Before it is sent, the page shrinks it on your phone, which also removes the location data phones store inside photos.
• a note, if you choose to add one

This form is handled by Netlify, our web host, which stores your details and the map picture in our Netlify account and emails them to us. We use them only to confirm the work and give you a final price. The page records a reference number in Google Analytics, never your address, outline, name, phone number or email.

Door hanger quote page

If you reach us through the QR code on one of our door hangers, the quote page asks for:

• your name, phone number and email address
• the address of the property, the date you would like us to come, and any add-on services you pick
• a photo, usually of the door hanger or your lawn
• a note, if you choose to add one

This form is handled by Netlify, our web host, which stores your details and photo in our Netlify account and emails them to us. We use them only to quote and schedule your service. Before a photo is sent, the page shrinks it on your phone, which also removes the location data phones store inside photos. On the rare browser where that is not possible, the original photo is sent as it is.

Each request gets a reference number. We record that number in Google Analytics, together with the anonymous ID Google Analytics uses for your browser, so we can tell which door hangers bring in customers. Google does not receive your name, phone number, email or address.

Online booking

The pressure washing page lets you book a free quote through Calendly, a scheduling service. Calendly collects the details its booking form asks for, such as your name, email and appointment time, and passes them to us.

Calls, texts and email

If you call, text or email us directly, we receive whatever you choose to tell us, along with your phone number or email address.

Information collected automatically

• Usage statistics. We use Google Analytics to understand how the site is used: which pages are visited, how visitors found the site, roughly where they are (city or region level), what kind of device and browser they use, and how long they stay. Google Analytics uses cookies to do this. We see summary reports, not your name or contact details.
• Server logs. Like almost every website, our hosting provider records technical details of each request, such as your IP address, browser type and the page requested. These logs are used to run and secure the site.
• Session storage. The site stores one short value in your browser's session storage so the animation between pages plays correctly. It contains no personal information and is cleared when you close the tab.

How we use your information

• to respond to your quote request or question
• to schedule, carry out and bill for work you hire us to do
• to understand how the site is used and make it better
• to keep the site secure and filter out spam
• to meet our legal, tax and accounting obligations

We use your phone number and email to contact you about your request and about work you have booked with us. We do not add you to a marketing list unless you ask us to.

Who we share it with

We do not sell or rent your personal information. We share it only with the service providers that make this website work, and only as much as each one needs to do its job:

• Web3Forms receives quote form submissions and delivers them to our email inbox. It also sends you an automatic email confirming we received your request. (Web3Forms privacy policy)
• Virginia Geographic Information Network (VGIN), part of the Virginia Department of Emergency Management, receives the address you type into the instant quote so it can find your property, plus the map coordinates used to load your property outline and aerial imagery. It also receives the address you type into our quote request form, as you type, so it can suggest matching addresses. (VDEM privacy policy)
• Chesapeake Bay Program (a partnership that includes the U.S. Environmental Protection Agency) receives the map coordinates of your property outline so it can return land cover data used to estimate your lawn area. (Chesapeake Bay Program privacy policy)
• City of Lynchburg GIS receives map coordinates for properties in the city of Lynchburg only, to look up driveway outlines. (City of Lynchburg privacy policy)
• Google provides Google Analytics and the fonts this site uses. (How Google uses information from sites that use its services)
• Calendly handles online booking on the pressure washing page. (Calendly privacy notice)
• Curator.io displays our Instagram and Facebook posts on the home and pressure washing pages. Showing that feed loads content and code from Meta (Facebook and Instagram), which may set cookies or receive information about your visit, particularly if you are logged in to Facebook or Instagram. • Cloudflare delivers the icon set the site uses. (Cloudflare privacy policy)
• Netlify hosts the website. It also receives requests from our quote pages, including any photo or map picture, stores them in our Netlify account until we delete them, and emails them to us. It does not email you. (Netlify privacy policy)

Each of these companies handles data under its own privacy policy. We may also disclose information if the law requires it, to protect our rights or someone's safety, or as part of a sale or transfer of our business.

Cookies and your choices

Google Analytics sets cookies on this site. Calendly and Meta may set their own cookies when their content loads. Google and Meta may collect information about your activity across different websites over time.

• You can block or delete cookies in your browser settings. The site still works without them.
• You can stop Google Analytics from collecting your visits on any site with Google's Analytics opt-out browser add-on.
• Some browsers send a "Do Not Track" or Global Privacy Control signal. This site does not currently change how it behaves when it receives one. The choices above still work.

How long we keep it

We keep quote requests and customer information for as long as we need them to respond to you, do the work, and keep the business and tax records the law requires. After that, we delete them.

How we protect it

The site is served only over an encrypted (HTTPS) connection, and we limit who can see customer information to the people who need it. No website or email system is perfectly secure, so we cannot guarantee absolute security, but we take reasonable care.

Your rights

You can ask us to:

• tell you what personal information we have about you
• correct anything that is wrong
• delete your information, unless we have to keep it by law

Email info@hces.us or call 434-207-6404. We may need to confirm your identity before acting on a request, and we will respond within 45 days. We honor these requests wherever you live, and we will not treat you differently for making one.

Children

This site is meant for adults arranging property services. It is not directed at children under 13, and we do not knowingly collect information from them. If you believe a child has sent us information, contact us and we will delete it.

This site links to other websites, including our social media pages. We are not responsible for their privacy practices, so please read their policies.

Changes to this policy

If we change this policy, we will update it on this page and change the effective date at the top.
